Full-Time Finance and Corporate Manager

New Zealand Book Council –  Wellington City, Wellington

Job Description

The Finance and Office manager is a critical part of the Book Council team. As sole-charge of the Book Council’s finance and accounting functions, you manage our day-today accounts as well as help us report to funders and stakeholders. You will work with the Chief Executive to develop strategy and the systems needed to implement it and led initiatives to improve the capability of the Book Council. You are also responsible for our corporate functions – including overseeing our IT and property contracts. Our internal systems and processes (especially our client management system) are your responsibility too.


Financial Management and Financial Accounting

Prepare the Council’s (and associated organisation – Peppercorn Press) financial accounts to a high standard, including monthly accounts, and year end accounts
Lead the annual audit processes
Manage appropriate relationships with for example, IRD, staff, Council, auditors
Proactive complete all management accounting and financial analysis tasks as required
Process all accounts payable, reconciliations, invoicing
Working with the CE and Managers, prepare annual budgets and report against them
Process payroll for staff
Prepare accurate cash flow accounts, monitor cash flow, review cash-flow assumptions
Prepare and reconcile GST, PAYE, Withholding tax and FBT payment schedules
With the CE, lead engagement with the Finance and Audit Committee of the Board

Organisational Development

Working with the Chief Executive and other Managers, develop and implement an organisational development plan.
Constantly and proactively review internal systems and processes to find ways of improving the effectiveness of delivery of the Book Council

Strategy Development and Implementation

Support the Chief Executive to deliver the medium term strategy of the Book Council.
Implement the systems needed to deliver on the chosen strategy
Implement the systems needed to report against the strategy (including developing impact indicators)

Corporate Management

Create and implement a strategy for on-going organisation development of the Council, including systems and process improvements, reviewing technology requirements.
Support the CE with all external reporting requirements
Manage the Council’s IT requirements and provider
Manage the Council’s property requirements
Support Managers and CE with the delivery of programmes and projects as required

Membership and Subscription Systems

Lead the renewal of school and general members, including answering queries, invoicing and processing of payments
Manage the Council’s client management systems and database
Further develop the Council’s client management systems and database
Support the Communications and Engagement Manager to communicate effectively with members

Proven experience in leading, as sole-charge, finance systems, processes and reporting
Proven experience in leading, as sole-charge, corporate functions
Proven experience in managing databases and client management systems
Proven experience in strategy development and implementation
Proven experience in organisation capability building
Ability to work independently
Ability to work effectively as part of a small team
Excellent relationship management skills
Excellent written communication skills
Experience with Xero financial system preferred
Experience with Smart Payroll preferred

Salary is $60 – 70k with flexible work arrangements available.
