Voluntary Office Administrator

Status: 3-4 hours per week; ongoing
Reports to: Theresa Grantham and Gijs Spoor – Co-Founders
Shoba Pillai- Communications Director
Shalini Pillai – Social Enterprise

Job Brief
The Office Administrator is responsible for organising all administrative activities that facilitate the smooth running of the virtual office. He/She is expected to converse intelligently with a diverse set of audiences – clients, prospects, funders, employees, etc. The Office Administrator will assist the Founders, Communications Director and Social Enterprise Consultant with the running of Seed to Self.
He/ She should be highly competent in prioritising work and working with little supervision. He/She should be able to manage ad-hoc demands and switch priorities, be highly organised and methodical.
It’s best if he/she is a people’s person and be energetic and dynamic as much of his/ her time will be spent working with the team..
Skills required
• Demonstrated ability to use Microsoft Office applications
• Knowledge of creating and managing spreadsheets
• Skilled at researching online information for providing support to different departments
• Unique ability to prepare and create seminars using PowerPoint and multimedia tools
• Knowledge of creating and working with databases
• Exceptional understanding of mail merges
• Excellent know how of Google Docs, Drive and Calendar
• Particularly effective in graphic manipulation software such as Photoshop
• Adept at using social media in order to create and maintain company’s presence
• Proficient in using the Internet. Email and search engines
• Exceptional knowledge of using data entry software and performing data entry tasks with accuracy and precision
• Ability to handle accounting data using Zero software
• Capable of calculating mathematical functions in order to provide support on different budget documents

Supporting skills
Job Requirements/ Qualifications
2 years or more related experience
Minimum: High school diploma
Preferred: Bachelor’s degree Business Administration
